How to participate in virtual events
View the instructions on how you can participate online in resident events held by the City of Helsinki.
What equipment do you need?
To join a Teams meeting, you need the following technology:
-
Internet access
-
A computer, smartphone or tablet
-
A web browser, or alternatively a Microsoft Teams app
We recommend using a computer to participate, because the pictures will be clearer and the chat easier to use.
Participating on a computer
On a computer, an easy way to participate is via a web browser. Supported browsers for participating in a Teams meeting are Google Chrome, Mozilla Firefox and Microsoft Edge.
Alternatively, you can participate with the Teams app. If you don’t already have Teams on your computer, download it from the Microsoft Store.
Participating with a phone
If using a mobile phone, the best way to participate is with the Microsoft Teams app. If your phone doesn’t already have the Teams app, download it first from your phone’s app store.
Logging in to a Teams meeting
The login link, made specifically for the meeting, will direct you to the window for logging in to a Teams meeting.
You will see options to log in with either the Teams app or a web browser. You can choose either method for logging in (also see the instructions above).
Turn off the microphone and camera when you log in
Before you join the Teams meeting, turn off your camera and microphone. They are turned off when there is a slash across the camera and microphone icons.
However, please make sure that your computer’s sound is on. The screenshot below shows you what your settings should look like when you join a meeting.
The ‘Join Now’ button will take you to the meeting.
How can I ask questions and comment?
In an online event, you can ask your questions by typing them on the Teams meeting discussion board. The chat becomes visible when you click on the speech bubble chat symbol.
Some the events also have time reserved for oral questions. Remember to turn on your microphone when it’s your turn to ask a question. The microphone is turned on by clicking on the microphone symbol, which removes the slash. The event organiser will provide more detailed instructions at the beginning of the event.
The chat becomes visible when you click on the speech bubble chat symbol at the top of the screen. There is also a microphone symbol at the top. Clicking on it will turn on your microphone (no slash) and turn it off (a slash over the microphone).
Sometimes the event organizer will conduct brief online surveys. The surveys are easier to respond to if you also use a smartphone or tablet in addition to the computer.
What do I do if I can’t access the event?
If you’re disconnected from the online event, join again by clicking the participation link.
If you can’t access the meeting at all, you can watch a video of it afterwards. Most of our events are recorded.
How an online event proceeds
-
An online event consists of presentations that proceed according to the programme.
-
You can attend the event for the entire evening, or a part of it.
-
You can comment on the presentations and ask questions in the Teams Live event chat. You can also just watch the presentations and follow the discussion.
