Book facilities of schools, daycare centres, playgrounds and adult education centres

The City of Helsinki has facilities that are suitable for a multitude of purposes at schools, daycare centres, playgrounds, adult education centres and other locations across the city. Residents and communities can reserve these facilities for private use, mostly in evenings and at weekends. A facility can be reserved as a one-off or seasonal reservation.

Clubs, organisations, communities, businesses and private persons can reserve facilities of the Education Division for private use. Facilities can be reserved for purposes such as hobby or other activities or family celebrations, meetings and various events in evenings and at weekends. The reservation practices vary by facility. Some of the facilities are reserved electronically via the Timmi or Varaamo system. Some facilities are reserved by contacting the location directly.

How the process works

1. Register as a Timmi user electronically with your Business ID.
2. Send a facility booking request in Timmi.
3. You will receive a confirmation if your request is confirmed.
4. We will send you an invoice by post for the use of the facility.

We send invoices out once a month, and you will receive yours after the use of facilities.

Information about reserving facilities

Making a reservation via the Timmi system

The majority of the classrooms, canteens and assembly halls of schools are reserved via the Timmi reservation system. Go to the Timmi system(Link leads to external service)

  1. Registering into the system 

Using the service as a contact person for an organisation: Select an existing organisation or create a personal username with your business ID, which the facility reservation service will check. You will receive an email message when your registration has been processed.

Using the service as a private person: Register as a user in the system. After that, submit a filled out basic information form to the service point of the facility reservation service. Schedule an appointment by email: tilavaraukset@hel.fi(Link opens default mail program) When you submit the form, we will verify your identity from an ID with a photo.

  1. Making a reservation

Submit an application for a one-off reservation at least two weeks (14 days) before the time of the reservation. Seasonal reservations for the next semester can be applied for in April within an application period announced in advance. Applications received during the application period are processed in May and June. Seasonal reservations can also be made after the designated application period has ended. The application must be submitted at least two weeks (14 days) before the first reservation time requested. When your reservation has been approved, you will receive a confirmation message by email. 

  1. Payment

You will receive an invoice for using the facility by post after your reservation.

  1. Cancelling a reservation

A one-off reservation can be cancelled free of charge two weeks (14 days) before the start of the reservation. The full price will be charged for any cancellations made later.

Individual time slots within a seasonal reservation cannot be cancelled or changed. The entire seasonal reservation or the remaining time slots within it can be cancelled free of charge with a 14-day period of notice. Any changes to start and end times or facilities must always be made by submitting a new application. The principal of the school has the right to reserve the facilities of the school for the school’s own use. If the school reserves its facilities for its own use, you will be notified by email roughly two weeks before the time of the reservation if there is a need to cancel an approved reservation.

Making a reservation via the Varaamo service

You can use the Varaamo service to reserve facilities at the following schools:

Haaga Comprehensive School (Isonnevantie unit), Kannelmäki Comprehensive School (Kuninkaantammi unit), Kankarepuisto Comprehensive School, Meilahti Primary School, Meilahti Lower Secondary School, Munkkiniemi Primary School, Pohjois-haaga Primary School

Make a one-off reservation at least 7–14 days before the time of the reservation, depending on the facility. Seasonal reservations are always applied for in April within an application period announced in advance. When your reservation has been approved, you will receive a confirmation message by email.

One-off reservations are paid for in full in advance when making the reservation. Seasonal reservations are invoiced for on a monthly basis.

  1. Cancelling a reservation

Making a reservation via Sports Services

Making a reservation directly with the unit

You can reserve the facilities of the following playgrounds and daycare centres by directly contacting the unit:

Making a reservation via the Varaamo service

Make your reservation at least seven (7) days before the time of the reservation. Seasonal reservations are always applied for in April within an application period announced in advance. When your reservation has been approved, you will receive a confirmation message by email.

The reservation is paid for in full in advance when making the reservation. Seasonal reservations are invoiced for on a monthly basis.

  1. Cancelling a reservation

Lahnalahti: Cable Factory, Cultural Centre Kanneltalo, Cultural Centre Malmitalo, Maunula House, Opistotalo, Oulunkylätalo, Pohjois-Haaga unit, Rajametsäntie handcraft and home economics facility, Silkkikutomo, Cultural Centre Stoa and Cultutal Centre Vuotalo.

Fees collected for resident use of facilities

Products and services procured by the Education Division are charged from the client based on the cost with VAT. The VAT rate for meetings and similar events is 25.5%, and the rate for using sports facilities for exercise events and accommodation is 14%.

The event price is used in situations where the entire building is closed from other evening and leisure users for the duration of the reservation. Prices include 25,5% VAT.

Prices for accommodation use
€285.00 day/50 guests (extra guests €5.70 day/guest)

General instructions for facility users

The person making the reservation must be at least 18 years old. The user of the facilities must have an adult responsible for the activities and behaviour of the group in the City’s facilities. You can find general instructions for using facilities here.

Facilities with building manager services

The event organiser will be responsible for the safety of their event. The users of the facilities must ensure that no persons not included in the event participants enter with the group.

Facilities for independent use

The facility can be provided for independent use without a City staff member or representative present. In such cases, the client commits to assuming responsibility for the safety and supervision of the use of the facility independently. The usage right may not be passed on to others. The client will be responsible for ensuring that no persons not included in the planned activities enter the facilities.

When you make a reservation via the Timmi system, you will receive general instructions for using the facility as an attachment to the reservation confirmation message. 

When making a facility reservation via Varaamo, the person making the reservation must commit to watching a familiarisation video about using facilities and reading the safety instructions of the facility. 

Facilities with building manager services

When a reservation is made via the Timmi system, the building manager will open the door for the facility users 15 minutes before the start of the reservation, provided that the person responsible for the group is present. The users must exit the facilities within 15 minutes from the end of the reservation.

When a reservation is made via the Varaamo service, the building manager will open the door for the facility users at the start of the reservation. The users must exit the facilities at the end of the reservation.

Facilities for independent use

When you make a reservation via the Timmi system, contact the facility staff once you have received a reservation confirmation message and schedule a familiarisation round. During the familiarisation, we will provide you with keys or an access pass to the facility. The user of the facility will sign an agreement on the exchange of keys that features additional terms for using the facilities.

When you make a reservation via the Varaamo service, the access method is specified in the facility description. You will receive instructions for accessing the facility in your reservation confirmation message.

Smoking and substance use are prohibited in the facilities and areas of the Education Division.

Facility reservations made via the Timmi system

Facility reservations made via the Varaamo service

Facility reservations made via the Timmi system 

Some facilities can be used for accommodation. You can ask for more information about school facilities suitable for accommodation by sending an email message to tilavaraukset@hel.fi(Link opens default mail program) . Unauthorised overnight stays are prohibited.

The person responsible for the facility reservation must fill out the accommodation application and submit it by email to tilavaraukset@hel.fi(Link opens default mail program) or by post to the address provided.

Facilities with building manager services

Any initial preparations and the final cleaning must be carried out within the reserved time slot.

Facilities for independent use

The person who reserved the facility is responsible for the final cleaning. Initial preparations and the final cleaning must be carried out within the reserved time slot.

When you make a reservation via the Timmi system, you will receive general instructions as an attachment to the reservation confirmation message.

The person who made the reservation must immediately report any damage to the movables or structures of the facility. The client’s liability to pay compensation is determined in the facility reservation agreement terms.

Any issues detected in the condition of the equipment and the facility must be reported without delay by email or via the feedback system. You can find the customer service contact details on the left side of this page.

The client will be obligated to pay compensation for any costs caused by their actions, such as special cleaning or security costs arising from an alarm. Additionally, the client will be obligated to pay compensation for any damage that they or the attendees of their event have caused to the facilities, equipment or movables during the reservation. The client will also be responsible for any damage caused by the actions of the client or the attendees of the event after the reservation. Any unreported damage will be charged for retroactively in accordance with the realised costs. If the client loses the key or access pass provided to them, they will be responsible for the costs arising from replacing the keys and rekeying the locks.

Unit or facility specific instructions 

The City has facilities the use of which requires the user to familiarise themselves with the facilities and their practices independently. Such facilities are reserved via the Varaamo service.
